Privacy Notice

The Transition Source, LLC provides The Transition Source website and portal and the Transition Buddy mobile application. This notice explains the information these services use, why they use it, the service providers involved, and the choices available to you.
Minimum age
Transition Buddy is intended only for adults age 18 or older. People under 18 may not create or use an account or submit personal information. If we learn that an account may belong to someone under 18, we will restrict processing and handle the associated information under our applicable deletion, retention, security, and legal requirements.
Public Website Buddy
Public Website Buddy uses a short-lived safety record to help recognize urgent-risk statements across consecutive messages. The record may include up to 24 letters and spaces from the end of recent text, up to 12 letters from short fragments, safety flags, limited counters, and a timestamp. It does not store the full conversation and is not sent to an AI provider.
The active record is scheduled for deletion 30 minutes after the most recent stored message. Cloudflare security, backup, recovery, abuse-prevention, and legal-retention exceptions may apply. Do not enter names, contact information, account data, medical records, or other private details. Public Website Buddy is not an account and is not intended for use by anyone under age 18.
Information you provide
Depending on the service and features you use, you may provide:
- account and profile information, including your email address, display name, adult and terms confirmations;
- military-service and separation information, career interests, plans, milestones, preferences, saved decisions, outcomes, and consent choices;
- financial-planning values such as salary targets, income, expenses, savings, pension or compensation estimates;
- claimed-benefit selections, disability- or VA-rating-related planning information, relationship and dependent information, health priorities, values, constraints, and other planning inputs you choose to save;
- portal planning entries, Buddy prompts, and generated or fallback Buddy responses;
- information you enter in an early-access form; and
- documents, questions, search terms, or other material you choose to submit to an optional feature.
Transition Buddy may request device permissions for features you choose to use:
- Contacts. The app reads only contacts you select for your transition network. Contact records stay on your device unless an optional AI feature identifies relevant contact context before you choose to send it for hosted processing.
- Calendar. If you add a milestone to your calendar, the app requests permission to create that event and does not read your existing calendar events.
- Reminders. Optional reminders use local notifications.
- Google Drive. If you connect Google Drive, the app requests the drive.file scope to create or edit files you select or that the app creates. It does not request general access to all files in your Drive.
Local and cloud storage
Transition Buddy stores profile and planning information on your device. When you sign in and accept the applicable consent, supported profile and planning information is also sent to an account-restricted hosted database for backup and synchronization. Depending on the features you use, that cloud-backed information may include the profile and planning categories described above.
Under the current implementation, phone address-book records, imported document contents, local file links, and cached AI output are excluded from profile synchronization. You may still choose to include related information in a prompt or document sent through an optional hosted feature.
The portal stores your authenticated account identifier and email, confirmations, profile, decisions, milestones, planning-tool entries, Buddy prompts, and generated or fallback Buddy responses. Portal records are separated by account identifier. The portal and mobile app use the same account identifier and compatible shared profile fields.
How information is used
The information described above is used to authenticate you; operate, secure, and improve the requested service; back up and synchronize supported information; personalize planning tools; calculate transition timing; present resources and milestones; support plans and saved decisions; respond to support, privacy, and deletion requests; and provide optional hosted processing that you invoke.
Financial, benefits, disability-related, and health-priority information is used to provide the planning, personalization, backup, or optional hosted feature you request. It is not used to determine official eligibility, provide medical care, make credit decisions, or execute financial transactions.
Based on the inspected implementation, The Transition Source does not exchange personal information for money or use it for third-party advertising or cross-app tracking. Whether any provider-assisted activity constitutes a “sale,” “sharing,” or targeted advertising under an applicable state law remains subject to qualified-counsel review.
Hosted AI and career services
When you invoke an AI feature after the applicable disclosure and consent, the prompt or document content you choose to submit and the feature-specific profile or planning context identified in the service are sent through The Transition Source's Cloudflare-hosted service to Anthropic to generate a response. Depending on the feature and information you saved, that context may include career, financial, benefits, service, disability- or health-priority, relationship, values, and planning information. The portal may also send recent Buddy conversation turns and selected values from the page you are using. Contact names are not included in the portal Network-page context.
O*NET Web Services supports occupation, wage, skill, and career-pathway searches. Search terms may be sent to that service. This application incorporates information from O*NET Web Services by the U.S. Department of Labor, Employment and Training Administration. O*NET® is a trademark of USDOL/ETA.
AI and career guidance is informational planning support. It does not determine benefits eligibility or replace professional, legal, medical, financial, or career advice.
Service providers and external resources
- Supabase provides passwordless email authentication and account-restricted storage for supported signed-in profile and planning data.
- Cloudflare provides website and portal hosting or runtime services, the hosted mobile processing service, security controls, and related storage and observability services.
- Anthropic provides the model used for optional AI responses.
- Google Drive API is used only if you connect it and choose to create, select, save, or edit a supported file.
- HubSpot provides the early-access form. Opening that page loads HubSpot-hosted form code, which may receive network and device information. If you submit the form, your First Name, required Email, and response to the free-text question “What kind of transition are you navigating?” are sent to The Transition Source's HubSpot account for updates and tester outreach. Portal workspace entries are not sent to HubSpot.
Links to government, nonprofit, and other external resources are provided for convenience. Their privacy practices are governed by their own notices.
Logs, retention, and deletion
Service providers may process account, request, device, cookie, usage, security, and diagnostic information needed to operate and protect the services. The Transition Source does not intentionally write AI prompt or uploaded-document contents to its custom Worker logs. Production Worker observability is enabled, however, and request or error metadata is retained under the applicable Cloudflare configuration and plan. Provider safety, abuse-prevention, backup, recovery, and legal-retention exceptions may also apply. See Cloudflare's Privacy Policy and Anthropic's Privacy Center for information about their respective data practices. Those provider notices do not replace this notice or establish the production account's exact configuration.
Deleting the Transition Buddy app removes app data stored locally on that device but does not by itself delete a signed-in cloud account or provider-held information. Signed-in users can choose Delete account and cloud data in Settings. After the server accepts the request, the app clears the account's local data. If cloud cleanup cannot finish immediately, a server-side job continues without requiring the user to remain signed in.
The portal deletion control removes the current portal workspace and planning-tool records from the active portal database and signs you out. It does not by itself delete the shared Transition Buddy profile, Supabase authentication account, a HubSpot submission, or files in Google Drive.
Disconnecting Google Drive removes the app's locally stored access token. Disconnecting in Transition Buddy does not revoke the app's authorization in your Google account; you can review or remove that access through your Google Account permissions. Files already saved in your Drive remain under your control. Hosting backups, recovery history, security logs, and information retained by a provider for safety, abuse-prevention, or legal reasons may remain for the provider's applicable retention period.

AI responses, resource information, and estimates may contain errors, omit relevant details, or become outdated. Calculations depend on the inputs and assumptions used; estimates are not promises of future results. Do not rely on an AI response or estimate as the sole basis for a consequential decision.
Know when to bring in additional expertise
Use these tools alongside current, authoritative sources and qualified professional guidance when needed. They do not replace legal, financial, medical, benefits, academic, or employment advice tailored to your circumstances. Official eligibility, admissions, hiring, and benefit determinations remain with the responsible organizations.
We do not guarantee the accuracy or completeness of every resource or output, or any particular employment, admission, funding, benefits, financial, or other outcome. These limitations do not exclude rights or protections that applicable law does not allow us to limit.
Use the experience thoughtfully
This experience is intended for adults age 18 or older. Respect other people’s privacy and use only information you are entitled to share. Keep passwords, government identification numbers, confidential records, protected student information, and classified or controlled material out of the experience.
Share only the information needed for the feature you choose to use. Our Privacy Notice explains how information is handled across the website, portal, and mobile app.
